Administrative Assistant

Summary

This position assists the Production Staff with administration and coordination of selected Curtiss-Wright Production operations as assigned. A skilled and responsible administrative position requiring attention to detail and communication skills working in an office environment and working with other departments is necessary

Location: Chula Vista, CA

Your Challenge:

  • Input and process timecards for production staff daily
  • Create expense reports scanning into the I-Drive & manually filing
  • Maintain multiple spreadsheets daily sending weekly and monthly reports including but not limited to PTO, Hours Report, Clock Times, Safety Roster, and Daily Attendance Roster
  • Back up Production Assistant by opening projects, submitting requisitions for projects, and completing all transfers when needed
  • Order all office supplies using Zycus, and complete monthly Konica Minolta readings
  • Update and obtain updated security information as needed
  • Electronically and manually create all job folders, and file all documents including Shop, S&R and Contracts
  • Update Curtiss-Wright Certification display case, NDA's as well as maintain all personnel files including Emergency Contact Information sheets and Ionizing Radiation Records
  • Maintain all Rosters including the Daily Roster, Safety Roster, and Update Org Charts and Phone Extensions
  • Set Up/Tear Down for Weekly WIP Meetings and Monthly Staff Meetings including ordering meals
  • Attend all monthly staff meeting while taking minutes to ensure all action items are completed timely
  • Maintain Digital Signage for the facility
  • Interact with all customers and vendors using proper security measures and ensuring all visitors have proper PPE, including answer multi-line telephone
  • Electronically file emails daily using the CWSD Admin inboxes, and the I-Drive

Your Expertise:

  • High School Diploma or GED and at least 2 years of relevant experience
  • Proficiency and Experience using Microsoft Word, Excel, and Outlook
  • Adobe knowledge preferred
  • General knowledge of office management practices and procedures
  • Ability to operate standard office Equipment, including but not limited to computer, printer, copy machine, etc.
  • Must be US citizen and be able to obtain and maintain DOD security clearance
