The Opportunity | Administrative Assistant (Finance) 

  • Refer or personally attend to external inquiries; maintain a professional and mature demeanor especially during interactions with internal and external customers, auditors, visitors and Corporate persons

  • Design and develop effective and efficient methods to track high priority actions for projects and programs to ensure the continuous functions of administrative process and organization's objectives

  • Compose complex technical correspondence with material needed for the execution of audits and projects in an accurate and timely manner

  • Locate, assemble and prepare reports using multiple data sources and software tools; collect and summarize weekly/monthly status reports for department

  • Coordinate administrative and logistical details associated with day-to-day operations to support Manager of Department and staff.

  • Perform a high level of administrative duties, which may be complex and including travel arrangements, itineraries, expense reports and requisitions for department supplies and software/hardware tools

  • Anticipate, prepare and compile materials for conferences, meetings, inter-departmental procedure updates and Limits of Authority signature tracking on own initiative

  • Proactively share work, which focuses on division priorities that may occasionally be at the expense of current group priorities including coverage for vacation and all other absences

  • Work autonomously (develop a thorough knowledge of practices and procedures of the function, company policy and procedures)

  • Be highly proficient in all Microsoft Office software/products:

  • Advanced Excel skills, i.e., create pivot tables, write advanced formulae

  • Advanced Power Point skills, i.e. develop and tune presentations with limited instructions, insert graphs, tables, animations, etc.

  • Run reports and screen queries, mine data from an ERP system, Oracle desirable

  • Must be able to quickly develop a thorough knowledge of practices and procedures of the function, company policy and procedures

Your Expertise:

  • 5 years' experience as an Administrative Assistant.

  • Highly proficient in all Microsoft Office products, and familiar with ERP systems.

  • High School graduate with completion of business school training or its equivalent.

  • Must be US citizen and be able to obtain and maintain DOD security clearance
