Executive Assistant


Our Executive Assistant is responsible for ensuring our offices operate smoothly and efficiently. You'll set visitors at ease, ensure our employees have the supplies needed to perform their jobs, and will provide administrative support to our Sr General Manager. You'll plan company events, ranging from executive and client meetings to all-hands meetings to holiday parties with flair. You'll contribute to our fast-paced yet friendly and people-focused culture. Our Executive Assistant position requires regular onsite attendance.


Your Challenge:

  •  Management of corporate office supplies including sourcing, ordering and distribution of janitorial, break room, copy room, and general office supplies; fulfills supply order requests for employees
  • Ensures break rooms are fully stocked with coffee, tea, plates, cups, napkins, cutlery, etc.
  • Receives and sorts mail for Headquarters employees, meets daily delivery truck and distributes deliveries and outgoing shipments; occasionally ships letters & packages via FedEx Express
  • Arranges refreshments for executive meetings and meetings with clients, vendors, visiting employees, etc.
  • Plans, coordinates, and executes special events such as company-wide meetings, employee recognition events, and holiday parties
  • Provides administrative support to Sr General Manager, including completing expense reports, scheduling, screening and coordinating phone calls, letters, and visitors, making travel arrangements, and other support as needed
  • Answers and directs phone calls including monitoring of company general voicemail; maintains and updates company phone list
  • Orders business cards, employee name tags, etc. as needed
  • Orders weekly all-employee breakfasts and snacks
  • Orders employee morale gifts, including flowers, company swag, etc. and provide support to managers for employee recognition as needed
  • Provides clerical support to the other departments as needed
  •  Performs other duties as assigned

Your Expertise:

  • 3+ years minimum of proven experience as an Administrative Assistant, Executive Assistant, Office Administrator, or similar
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
  • Proven ability to complete complex tasks and projects quickly with minimal guidance, react with appropriate urgency to situations which require a quick turnaround, and be able to proactively solve problems of varying complexity
  • Excellent organizational skills and attention to detail
  • Must be able to self-organize workloads and manage all deadlines
  • Proficient with Microsoft Office Suite or related software
  • Bachelor's degree and/or equivalent relevant experience in administrative support or events planning
