Executive Sales Assistant

The Executive Assistant to the Vice President of Sales will support a world-class sales organization located in Portland, OR. The role will provide administrative and logistical support for the VP of Sales and a team of hyper-talented sales professionals. The individual in this role must understand business priorities, demonstrate the ability to proactively anticipate business needs and drive improvements to build capacity for the leadership team.

Your Challenge:

  • Manage and act as a liaison between sales team and VP of Sales in support of all sales functions.
  • Gathers input and deliverables from technical, sales, service and finance teams at PacStar in order to assist in proposal development.
  • Prioritize daily tasks and responsibilities in support of the VP, in a bi-coastal, quickly changing and fast paced office environment.
  • Collaborate with the VP to execute time sensitive special projects for Senior Management.
  • Manage confidential and sensitive information with utmost diplomacy and professionalism.
  • Assist in planning of tradeshow events, including coordination of timing/logistics, travel, catering, and technical support.
  • Coordinate with clients to schedule pertinent meetings, calls, and events for the Sales department.
  • Plan and execute department staff events, outings, retreats and draft and distribute team wide communications on behalf of the VP.
  • Arrange travel for the VP, including domestic and international flights, hotels, and car service.
  • Organize and submit expense reports in a timely manner.
  • Provide executive support for VP on weeknights and weekends, as necessary.
  • Performance requires physical attendance and the ability to work remotely from home.
  • Other duties as assigned

Your Expertise:

  • 2-3 years minimum of experience as a Sales Administrative Assistant or Executive Assistant
  • Bachelor's degree and relevant experience in advertising, marketing, sales, media and/or entertainment
  • The successful candidate will possess the skills to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations which require a quick turnaround,
  • be able to take effective action without having to know the complete picture, and efficiently and proactively solve difficult or complex problems that affect people within the department or other related groups.
  • Strong mathematical and computing skills
  • Strong written and verbal communication skills
  • Accuracy and attention to detail is a must
  • Must be able to self-organize workloads and manage all deadlines
