The Opportunity | Administrative Assistant


Under direct supervision, the Administrative Assistant performs standard secretarial and administrative duties. Types letters, memorandums, and reports, files, answers phone, and handles mail. May take and transcribe dictation. May work for one or more individuals in support of a department, project or contract. Supports a department or single manager.


Major Accountabilities /Deliverables



  • All functions of the business administrative needs including support for associates and engineering group

  • Answers incoming phone calls for department. Screens calls as necessary

  • Types correspondence, reports and other documents. Maintains routine databases

  • Processes documents to update and maintain files and records

  • Research options and makes travel arrangements. Processes travel expense report forms and check requests

  • Monitor and maintain office and kitchen supplies


    • Preparation & clean-up for meetings/trainings - supply coffee, meals

    • Ordering & set-up/clean-up of weekly EE breakfast

    • Provide back up to Accounts Payable function

    • Coordinates calendars and schedules and may help to organize conferences and meetings

Qualifications



  • High school diploma or equivalent is required

  • Strong communication, organizational and follow up skills

  • Effectively manage competing priorities

  • Ability to maintain precise records

  • Experience with MS Office, Word and Excel are required

  • Able to multitask while working with tight timelines
