Job Description

Position Title: Contracts Administrator

Reports to: Director of Sales Operations 

Summary of Duties: 

Responsible for the administration of assigned contracts for manufactured and distributed orders. Must be able to successfully review, analyze, interpret, explain and summarize contract provisions. Will serve as a "one point" contact for assigned contracts, screens and processes customer inquiries to ensure prompt handling and maintains continuing customer liaison. Must have the ability to solve issues with customers such as pricing, change orders, manufacturing problems, and shipment problems.

Core Responsibilities: 

  • Day to day running of multiple contracts through the entire project lifecycle, coordinating contract and all related correspondence as noted below;

    • Acknowledges customer purchase orders

    • Reviews and analyzes new contracts and modifications for agreement and consistency with proposals.

    • Performs Booking and Billing (progress, partial and final)

    • May be required to review to interpret contract Terms and Conditions

    • Handles all customer submittals and maintains submittal log

    • Writes letters pertaining to contracts that require independent business judgment

    • Schedules customer on-site meetings

    • Schedules customer conference calls and documents the calls

    • Coordinates proposals for customer change requests

    • Attends Production meetings 

  • Depending on assigned Customers, may be required to be trained in Export Compliance Regulations, Enertech procedures and generate the appropriate Export Documents for International shipments.

  • Recommends appropriate activities to resolve contract issues. Requests amendments or modifications to contracts as required.

  • Prepares and disseminates information to appropriate departments regarding contract status, compliance, modification, deviation, negotiation and termination.

  • Understands how to communicate difficult information tactfully

  • College degree in Business or equivalent 5 years industry experience.

  • Experience in customer relations function as sales or purchasing which would indicate the desired customer service orientation and good business judgment.
