The Opportunity | Executive Assistant

As an integral point of support for the General Manager at our Arlington Heights, IL site, you will be accountable for a wide variety of analytical, administrative and secretarial duties. You will be tasked with keeping abreast of business addressed to GM and assisting with timely information and data gathering, as well as follow-up on all issues. Work assignments are confidential and complex in nature, where considerable judgment, tact, creativity, technical skills, and initiative are required in all activities.

Your Challenge:

  • Act as the liaison between senior leadership, managers and visitors; review meeting requests, schedule appointments and meetings as they arise

  • Compile data for various time-sensitive reports by coordinating, gathering, analyzing with various business tools such as Intranet and SharePoint sites, Internet, Network, and Microsoft programs

  • Draft confidential correspondence and reports. Edit documents, as needed

  • Arrange domestic/international travel on behalf of the

  • Coordinate and host site visits for customers, executive and management to the facility

  • Maintain action register and manage assigned to-do's and follow up action lists - projects, objectives, delegated assignments

  • Create complex and savvy PowerPoint and Excel presentations

  • General administration duties, such as timesheet entry, expense report development, travel planning, budget management

  • Extensive electronic calendar management

  • Establish and maintain hard-copy and electronic filing systems as required

Your Expertise:

  • Degree or diploma in business, marketing or administrative field

  • Minimum of 5 years' experience in a fast-paced administrative or office management role; preferably at the executive assistant level

  • High proficiency in Microsoft products: Word, Excel, Power Point, Outlook

  • Ability to anticipate and take independent action on handling requests; determine the appropriate course of action, intervene where necessary.

  • Excellent decision-making capabilities with ability to act on behalf of the GM in his absence, on issues within the scope of the position

  • Strong interpersonal skills, written and oral communication skills, and understanding of confidential nature of daily tasks

  • Customer-focus mindset

  • Superior organization skills with attention to detail; ability to operate under pressure and meet deadlines

  • Demonstrated ability to work with sensitive/confidential information
